    What is the Quotation Generator?

A quotation (or estimate) tells a customer what you will supply and at what price before they order. A clear quote lists each item with quantity and rate, any discount and tax, the total, how long the prices are valid and your terms, such as the advance and delivery time.

The Quotation Generator builds that for you with a live preview. Add your logo once, list the items, choose no tax, a tax per item or GST, and add an acceptance line so the customer can sign and return it. When the customer agrees, open the same details in the Invoice Generator.

Quotations are saved in this browser under My documents, numbered in sequence, and never uploaded.

    How to use it

    1. Enter your business details and logo (remembered for next time).
    2. Add the client, the quotation number, the date and how long it is valid.
    3. List the items with quantity, rate, discount and tax.
    4. Write your terms: advance, delivery, warranty and so on.
    5. Pick a template and colour and download the PDF to send.

    Features

    • Tax your way. No tax, a tax per item, or GST with the CGST/SGST or IGST split.
    • Discounts. Per-item discounts and a discount on the whole quote, as a percentage or an amount.
    • Three templates. Classic, Modern and Minimal in eight colours, A4 or US Letter.
    • 20 currencies. Quote in rupees, dollars, euros, pounds, dirhams and more.
    • Numbered for you. QT-0001, QT-0002… the next number is ready when you start a new quote.
    • Private. Prices and client details never leave your device.

    Frequently asked questions

What is the difference between a quotation and an invoice?

A quotation is an offer before the work or sale: the customer can accept or decline it, and it is not a demand for payment. An invoice is issued after the sale and asks for payment. Many businesses send a quotation first and then an invoice with the same items.

    What is a proforma invoice?

A proforma invoice is a preliminary bill sent before delivery, often for advance payment or import paperwork. It is not a tax invoice. Change the title to “Proforma Invoice” here or in the Invoice Generator.

How long should a quotation be valid?

Commonly 7, 15 or 30 days. Use a shorter period when your costs change often (for example metals or fuel) so you are not held to old prices.

Should I add GST to a quotation?

If you are GST-registered, showing the tax in the quote avoids surprises: the customer sees the taxable value, the GST and the total they will pay.

Is a signed quotation a contract?

A quotation accepted by the customer can form a binding agreement, especially with clear terms. For large or complex work, a separate signed agreement is wise.
