Many companies use an applicant tracking system (ATS) to collect resumes and pull out your name, jobs, skills and dates. If the software cannot read your file cleanly, a human may never see it. The good news: an ATS-friendly resume is simply a clear, plain, well-organised one, which is what recruiters prefer anyway.
Layout that parses correctly
- One column. Two-column layouts, text boxes and tables can be read out of order, mixing your skills into your job history.
- Standard headings: Summary, Experience, Education, Skills, Projects. Creative headings like “My Journey” confuse parsers.
- Plain fonts at 10–12 pt, such as Arial, Calibri or a clean sans-serif.
- No images, icons, rating bars or graphics for skills. A “4 out of 5 stars” bar carries no text a machine can read.
- Contact details in the body, not in the page header or footer, where some systems skip them.
What to write
- Header: name, phone, email, city, and a LinkedIn or portfolio link.
- Summary: two or three lines on who you are and what you offer.
- Experience: job title, company, month and year of start and end, then bullet points. Start each with a verb and add a result: “Cut report time from 4 hours to 30 minutes” beats “Responsible for reports”.
- Education: degree, college, year. Freshers can put this above experience.
- Skills: list the tools and skills named in the job post, in plain words.
Keywords: match the job post
ATS and recruiters search for the words in the job description. If the post asks for “project management” and “Excel”, use those exact terms where they are true for you. Write both the long form and the short one the first time, such as “search engine optimisation (SEO)”. Do not paste a hidden block of keywords: it is easy to spot and gets resumes rejected.
File format and size
A text-based PDF is safe for almost every system; use .docx only if the posting asks for it. Do not send a scan or a photo of a resume, because it has no readable text. Keep the file under 1 MB, and if you must shrink it, use Compress PDF. Name it clearly, such as Anita-Sharma-Resume.pdf.
Mistakes that hide your details
- Putting dates in a different format on every line.
- Using a photo for roles where the posting did not ask for one.
- Fancy bullets or symbols that become strange characters when read.
- Long paragraphs instead of short bullets.
- Going past two pages when you have under ten years of experience; one page is ideal for freshers.
Frequently asked questions
Does an ATS really reject resumes automatically?
Mostly it sorts and searches them; people still make the decisions. But a resume that fails to parse can be missing key details when a recruiter searches, so clear structure matters.
Should a fresher include a photo, date of birth or address?
For jobs in India, a photo and date of birth are usually unnecessary unless asked. Add your city and a phone number and email instead.
